Setting the Time Late Doesn’t Work

Do you set your clock a little late in hopes that it will help you be on time and not be late?  I tried this technique and I have noticed a few others try this method and in my experiences and by asking those who have done this, it doesn't work.  This article will explore what I have learned in using this method and in asking others who have tried this and what  their outcomes were as well as give a solution to the real problem.

SETTING THE TIME LATE TECHNIQUE

The real time is 7:00pm, but you purposely set the clock for 7:30pm or some set it just a few minutes later in hopes that you could trick yourself the following morning in believing that you are running late so that you get moving to go to your scheduled meeting.  You also hope that this gives you the extra 30 minutes to be safely early for whatever it is that you are trying to make on time.  What usually happens in my experience as well as others I have talked to is that, you still find yourself late and the time you had hoped to save actually doesn't happen as planned. 

What really happens is that you continually do a quick mathematical calculation in your mind in the morning and calculate that you actually have more time to snooze so you hit the button feeling good about yourself and feeling clever that you cheated time because the time is actually 30 minutes earlier.  As the mathematical calculations of the early morning is filled with mistakes, you end up waking up super late and you spend the time calculating the real time over and over again as you get ready because you don't have the real time showing. 

You probably waste more time trying to figure out the real time instead of getting yourself prepared for whatever is you are about to do.  Not a really good start to the morning or for any meeting.  You are too busy trying to calculate the real time. 

THE REAL PROBLEM

The true problem is your time management problems that should be addressed directly versus trying to find "clever" ways around it.  So the first part of the solution is to face your real problem and find ways to fix it versus finding the quick fixes that only causes more problems.  When you try the wrong time setting technique, you are actually planning on being late versus learning ways to be on time.  You also waste a lot of time by filling your mind with useless calculations when in reality the real time IS the real time and you should be planning yourself accordingly.  Unless you have a time machine, I would stick with the true time that we all have to live by and not try to find ways around this.

I remember once I borrowed a car from a friend that used this technique and changed their clock 17 minutes later.  I was actually running on time, but because the clock was late, I thought I was later than I really was.  Another bad example from another person was that every clock in their house, car, watch and phone was different.  Imagine trying to remember which clock has certain minutes that must be calculated and trying to figure out the true time, she explained that by doing it this way, she thought that she would really trick herself in believing that she was actually later than she thought.  I should go back and ask her how does she reference what the real time is... ah forget it, my mind hurts just thinking about it.

THE SOLUTION

The solution is to use the real time for all of your clocks and plan to be early by learning good time management skills as well as making it a goal to be on time.  Trying to find the quick fixes will only get you into trouble and it might work a few times but the amount of work to force it to work by trying to trick yourself is a bad technique.  Do a search online or pick up a book about time management skills and make it a habit to be on time.... THE REAL TIME!

Things You Should Backup

Tornado in Paradise, Senggigi Beach Lombok IndonesiaIn life we should expect the best, but prepare for the worse.  In today's wired as well as our unplugged world, we have some important things we should have backed up, just in case.  A key success factor for productivity is also to prevent the time consuming activities by preparing ourselves and our lives.  Below are some tips on some things I recommend to have a backup of.  Make your own list and spend a little time to backup on occasion and add to the list according to your life.

MEMORIES

The last time I took a photo with film has been about 10 years and now everyone I know uses a digital camera and camcorder to record the precious memories of our lives.  We have photos scattered in different locations, housed on our hard drive, and some on disks.  Captured memories only comes once and if you have the precious memories you want to keep and share for generations to come, be sure to have backups in case a laptop get stolen, disks get broken or accidentally get thrown out.  I keep my digital memories as well as my photos scanned and organized at my house as well as a backup with one of my family members house.  This way, if a natural disaster occurs, then I have a backup located in a remote location that I can retrieve.

BLOGS/WEBSITES

If you created a website or blog and spent countless hours adding content and design, be sure to make a backup.  If you rely solely on your host service to provide a backup, if things get lost, you could possibly lose years of work.  Play it safe on this and seek out ways to have a backup of your work.

WALLET/PURSE

Can you give me the numbers and accounts for each item in your wallet or purse?  Lets say you accidentally lose your wallet, panic will set in and you scramble to find each contact information and accounts that you think are in your wallet and purse.  Save yourself some time and make a file with photocopies of each item in your purse or wallet, front and back so that in case you do lose something, you know for sure which accounts to close and the numbers associated with each.

IMPORTANT DOCUMENTS

This should be a no brainer, but believe it or not, many people only have one copy of their important documents.  Invest some time to scan the documents and keep them stored in a remote location, accessible when needed.

CAREER DOCUMENTATION

You worked hard and gained recognition for your work, be sure to scan and backup your "brag book" and documents for possible use when you are going for a raise or for a new job.

WHAT YOU OWN

Pull out that digital camera of yours and take pictures of everything you own.  If you own a house and have house insurance, the best way to get covered for what you lost is by making the time to document and backup what you have. Remember to keep a backup at a remote location as well, just in case a backup at your house is damaged.

If you take some time to make backups of your life, when the worst happens, you will be prepared and get back on your feet much quicker if you have them still accessible.  Be prepared for the worst but expect the best.

Conquer Big Projects/Tasks by Using the Flashcard Tactic

I bought these index cards two months ago, I think it´s high time I got to using them.Having trouble starting or finishing a BIG project or goal?  Any project can be broken down into smaller easier tasks, when combined, becomes a completed project.  When given a BIG project or a goal that seems nearly impossible to conquer, break it down and gain the benefit of momentum to finish it one piece at a time.  The tactic I use to break down a big project is by using good old fashion flashcards.

THE FLASHCARD TACTIC

On my desk I have a three small boxes that houses flashcards as well a trashcan.  Now what I do whenever I have a big project or goal is that I start writing down the tasks that I need to do to complete them.  For example, for completing a writing assignment or even a book , I break down each chapter, each subject and assign a task for each on a flashcard.  I then shuffle the cards and play a little game of project roulette.  One by one, the flashcards get tossed in the circular file (the trash can) and once I finish my last flashcard, I have a completed project.

I sometimes use colored flashcards and use green as a simple task, blue for medium and red for something that takes a bit more time.  Depending on how I feel, I could reach for a color flashcard that matches my mood and motivation.  I tend to start with the easier tasks, since this builds momentum and with easier tasks, when I complete them, I get a feeling of accomplishing something and feel confident that I am moving towards completing a project.  A mountain is much easier to move, one rock at a time versus trying to move it all at once.  Break it down and get it done.

Driving Home After Work: What do you think about?

You finished a long day at work and begin your commute towards home and in between thoughts go through your mind about the day.  What do you think about?  Do you think about what you didn't accomplish for that day or do you think about the things that accomplished?

Every professional has tasks and duties that must be performed on a daily work day basis and believe it or not, things actually get done through the course of a day.  Even if you are working towards a project to completion, things are progressing towards being done.  If you find yourself constantly thinking about what you didn't accomplish for the day, you missed out on the celebration of what you have accomplished. 

The negative thoughts that could cause stress, anxiety and worry is not a good way to end your day and it could carry forward to the next and create an ongoing cycle of dissatisfaction and burnout.  How about innovating the way you think at the end of your day, during your commute home? 

If you have set specific daily goals for yourself and plan out your day with efficiency, then whatever you have done for the day has already passed and all the worry in the world will not change anything other than create more stress for yourself.  If you constantly run over things that you have to do during your drive home, then maybe it is time for you to change the way to set reminders or tasks for yourself and come up with a system that will give you a checklist of things to accomplish. What I do is use my smart phone to add tasks as soon as it comes up.  This way, I know that I have my commitments in order and a quick look at my to-do list will give me the necessary information I need to know what I need to accomplish.  This will save you a lot of headaches and not run the risk of not fulfilling commitments you give to people.  If you do not have a working calendar that schedules your appointments, and you try to get by just by memory alone, then you run the risk of missing important meetings and deadlines. 

Schedule important things that you need to do as well as the unimportant things that needs to get done.  Find new ways to be productive and not wasting time thinking about what needs to be done over and over again. 

Celebrate each day.  Give yourself some recognition for what went well, enjoy the feeling of accomplishing good work and rethink of the things that went well throughout the day.  Success breeds more success and by giving it the respect it deserves you can improve upon the past successes you have already done.  Dwelling on the negative parts of the day, will do nothing but give you wrinkles and a bad attitude.  Try thinking positive and remember the good work you put in, try it with a smile and drive home feeling accomplished versus worried or stressed.  You will begin to feel energized for the next day and begin recognizing that you do produce good work.  Celebrate it.

How Trying to be Perfect is Not Perfect

Pefect AlignmentHave you ever pursued a project or dream and never seem to complete what you started because you feel as if it is not "perfect"?  Nothing is wrong with pursuing excellence in all you do but when you let self doubt and overly critical reviews on yourself stand in the way of ever letting anyone see what you produced, then you are not allowing your ideas and creations to realize success.

I have talked to many people who have shared their personal projects with me and I am amazed at the work they have produced.  The types of projects I am talking about is their passion and because they have a deep passion for it, they are overly critical when it comes to criticizing their own work.  Some of the work I have seen from others include, poems, artwork, books, software, an idea, business startup etc.  and what I have noticed is that many usually feel as if it is not good enough to share with the masses or good enough to offer as a product.  This is where I think the pursuit of being perfect is actually not perfect because it is limiting the potential success one might realize if others get to see it and consume it.  Great ideas come from everyday people and innovation starts with each individuals imagination and solution to problems.  That made me wonder about how many unique and cool products there were out there that are not for sale on the mass market because of individuals self limiting beliefs.  I have browsed craft fairs in the past and have found the most beautiful crafted products and actually prefer to buy these handmade items for gifts because they are perfect in my eyes, unique, original and much more creative than products offered in masses.

Limiting yourself by trying to be perfect could actually hinder you from actually reaching perfection.  Many fear the criticism given by others and try to perfect what they are doing before they feel it is good enough.  Yet, good enough never occurs and it is shelved away, never to be seen by anyone or by only a few people.  We cannot satisfy everyone and you can actually use the criticisms by people as ways to improve what you are doing, if they are truly giving you constructive criticism in the first place.  If someone says that idea is horrible, you may ask, "how can I improve upon this, based on your assessment" or ask about other possible ways to make your creation better and find areas to work on from different sets of eyes versus only what you see and know.  Like I said earlier, you cannot and will not satisfy everyone, so pay attention to the ones who like what you have produced and cater to them.  If you look at our market today and in the past, there have been amazing products offered to us that we love, yet others do not care for.  A great example is the choice of using a PC or a MAC.  Lets imagine if the founders of Apple never shown anyone what they have created or offered their products for sale, we would never have the iphone, ipad, ipod and other creative products that came from this company.  Apple has evolved over time, and with any company or product, it evolves into better products over time.

If you have an idea, product or dream you have created or invented, give it room to breathe and consider sharing it with the world, you might not satisfy everyone, but something great might come about you allowing it grow.  Things will never be perfect but you could always work towards that goal, but don't let the pursuit of trying to be perfect actually stop you from being perfect.

How to Remember Important Tasks

We live busy lives and with our daily conversations and commitments, we tend to forget some things we promised to take care of.  Have you ever forgotten to call back someone or forgot to pick up the milk or even worse miss an appointment?  This article will give you some tips on helping you remember your important tasks and commitments.

  • Put your smart phone to use:  Everyone I know has a smart phone, and with a smart phone comes the classic calendar where you can input your appointments and tasks that you have committed to doing.  Make it a habit to enter in the items you need to accomplish immediately.  If you let time pass, you might forget and not get the task done.
  • Use a system and stick to it:  If you do not have a smart phone, use a calendar and review it daily.  If you do not have a system in palce to record your commitments and appointments, you will run the risk of forgetting.
  • The 4 method:  What I do is break up my days in 4's.  Morning-Lunch-Dinner-Bedtime.  With each quadrant, attach an important task that needs to be accomplished such as returning a call or picking up milk before going home.  I usually use the bedtime quadrant to set up my most important task for the next day and execute in the morning.  Before I head out the door, I review my daily agenda and glance at my calendar to make sure I have my day planned.
  • Driving:  We talk on our phones while driving and we usually cannot take notes on commitments.  I hope you are at least using your bluetooth while driving.  If you happen to give a commitment while driving, ask the other party to send you a reminder email immediately since you cannot note the commitment and you do not want to forget.  If an email reminder cannot be sent, I make a voice recording on my phone as soon as I get off the phone and review my voice notes daily and add them to my calendar.

Make an effort to remember your commitments and items due.  This will lead to a much happier life and reduce stress in your life.  If you ever miss an appointment, it could reflect very poorly on you professionally and might lose credibility and trust from the person waiting to meet you.  Have a system and stick to it, and if things don't work, you must reinvent the ways you set reminders for yourself.
